Booking and registration for sports camps

Bookings in. Money banked. Every child signed out.

Most booking tools stop at the payment. FormSide keeps going — through the medical notes, the QR check-in, the balance settled at the desk, and the register that says who collected whom.

The way it works now

A camp runs on five browser tabs and a clipboard.

A form collects the bookings. A spreadsheet tracks who has paid. The bank app tells you a transfer landed but not whose it was. The questions arrive on WhatsApp at half nine at night. And on the morning itself, the only record of who is actually in the building is a printed sheet that goes home in a coach’s car.

None of it talks to anything else, so every answer takes a search — and the one question you really need to answer fast is who has this child, and when did they leave?

  • The Google Form
  • The payments spreadsheet
  • Chasing on WhatsApp
  • Matching bank transfers by hand
  • The printed register on a clipboard
  • One workspace, from booking to sign-out

One Saturday

From 07:40 to 16:05, here is what it actually does.

Thirty-six players, one inline hockey weekender at Bisley. Nothing below needs a laptop, a printout, or a phone call to the club treasurer.

  1. 07:40

You open the desk, not a spreadsheet

Today's register is already on screen: who is booked, who has paid, who still owes a balance, and the medical notes that matter.

  2. 08:42

    Mia arrives and scans in

Her parent shows the QR pass from their phone. One scan checks her in, the on-site count updates, and a second scan cannot double her up.

  3. 09:05

A place that opened last night is already filled

An unpaid hold expired, the place went back on sale, and the next family on the waitlist was offered it by email. Their pass is on their phone.

  4. 11:15

The inhaler note is where you need it

Her dad updated her medical details on Thursday evening. You were emailed when it changed, and the desk has been showing it since.

  5. 13:02

The balance is settled at the desk

£100 outstanding, taken as a card payment. The booking, the ledger and the family's receipt all update in the same moment.

  6. 16:05

Gran collects, and the record says so

The collection note names her. One tap checks Mia out, stamped with the time and the staff member who did it — permanently.

What you get

Three jobs, one system that keeps them together.

Fill it

A camp page that answers the questions before they are asked

Dates, venue, age group, kit list, the day-by-day programme and what happens at drop-off — all on one page families can read on a phone. The booking form is yours to build: positions, jersey sizes, playing experience, medical notes, your own consents.

  • Capacity that cannot oversell, because a place is held, paid or released
  • Deposits now, balance later — or the full fee up front
  • A waitlist that lets you offer the next place with one click

Run it

The bit no booking tool does: the actual day

Every family gets a branded admission pass with a QR code. Your staff scan it at the door, settle any remaining balance in cash or by transfer, and check everyone out at collection time. The register is live on screen, not in someone's pocket.

  • Check-in and end-of-day check-out, with bulk check-out at the whistle
  • Collection instructions from the family shown at the desk
  • Any past day exported as a CSV for your records

Bank it

Know what the camp actually made

Every booking carries its own bank reference, so matching a transfer takes seconds instead of an evening. Record what the camp cost to run — rink hire, coaching, kit — and see the operating profit per camp, not just the money that came in.

  • Bank transfer by default; card checkout through Stripe if you want it
  • Deposits, balances and recorded refunds in one payment ledger
  • Automatic reminders before an unpaid hold expires

Safeguarding

“Who collected Mia, and at what time?”

It is the question you hope nobody ever asks, and the one you must be able to answer instantly if they do. Every arrival, departure and reversal is written to a record that cannot be edited afterwards, stamped with the staff member who did it.

  • Append-only: records are added, never quietly rewritten
  • Every action attributed to a named member of staff
  • Any past day exported as a CSV for your safeguarding file
  • Medical and emergency updates from parents land before the day starts

And this is what families see

Your camp page does the selling.

Live camp pages built in FormSide. Your logo, your colours, your programme — dates, places left and price answered before anyone has to email you.

Pricing

A percentage fee charges you for a good season.

Sell sixty places at £145 and you have taken £8,700. A 6% booking fee takes £522 of it, and it takes more every time you grow. FormSide is a flat monthly price with no commission on your bookings — the same whether you run one camp or ten.

Before you ask

The five questions organisers ask first.

Do families need to download anything?
No. They book on a web page, get an email, and their admission pass is a link with a QR code. Nothing to install, nothing to remember at the door.
Can we still take bank transfers?
Yes — it is the default. Every booking gets a unique reference so matching a payment against a family takes seconds. Card checkout through Stripe is optional, not required.
What happens when a child's details change?
Parents update medical notes, emergency contacts and collection instructions themselves from their pass. You get an email the moment they do, and the desk sees the change immediately.
Who on my team can see medical information?
Only the roles you allow. Coaches work the register, finance sees the money, and full participant detail stays with owners, admins and managers. Every change is recorded against the person who made it.
We already have bookings for the next camp.
Publish the camp, take new bookings here, and record the ones you already have. When the season comes round again, duplicating a camp into a fresh draft takes one click.
