Safeguarding

The organiser protects children at camp

FormSide supplies booking software. It does not employ the coaching team, supervise participants, inspect venues or certify a camp. The named organiser is responsible for safeguarding and delivery.

What organisers are expected to have

  • A current safeguarding and child-protection policy appropriate to the camp and nation in which it operates.
  • A named safeguarding lead, reporting route and escalation procedure.
  • Safer recruitment, role-appropriate checks, training and supervision.
  • First-aid, medical, emergency, attendance, arrival and approved-collection procedures.
  • Risk assessments for the activity, venue, transport, accommodation and overnight care where relevant.
  • A way to record, restrict access to and retain safeguarding incidents appropriately.

Requirements vary by role, activity, frequency, age, duration, nation and whether childcare or regulated activity is involved. A FormSide listing must not claim that a generic DBS badge, qualification or platform listing proves compliance.

What FormSide does

  • Requires key arrival, collection, contact and logistics information before a camp can be published.
  • Separates optional photography permission from required booking acceptance.
  • Restricts participant, emergency and medical information to authorised organiser roles.
  • Provides booking and payment audit records without making a safeguarding endorsement.
  • May suspend a listing or account where credible information indicates unlawful, unsafe or misleading use of the service.

What families should check

Ask the organiser for its policy, safeguarding lead, collection arrangements, insurance, first-aid provision and the checks relevant to the adults involved. A claim about DBS status, registration, qualification or insurance should be verified with the organiser; FormSide does not currently verify or award those badges.

The DfE guidance for parents using out-of-school settings applies in England. Different arrangements apply in Scotland, Wales and Northern Ireland.
