FOR COACHES AND SMALL CLUBS

Your first camp live this afternoon. Nothing to learn.

FormSide for coaches is a booking system for a solo coach or small club running a few camps a year. It is free while in beta, needs no card and takes no commission; parents book on a phone with no account, and you run the desk from yours.

BEFORE AND AFTER

What you stop doing by hand.

Six jobs most coaches do on a Sunday night. Still on a sheet? Read moving from spreadsheets.

  • A Google Form and a spreadsheet of who has paid

One booking form; every payment and reference matched to a child

  • Chasing balances by text the week before

Reminders go out on their own before the deadline

  • Scrolling the bank app for a transfer called “camp”

Every booking has its own reference that matches itself

  • Medical notes in a separate email you hope you saved

Allergies and medication on the register as each child arrives

  • A printed register and a pen for sign-out

A QR scan, and the name of who collected whom

  • A WhatsApp message asking “how was it?”

Every family asked an hour after camp; reviews land on your page

ON THE DAY

The desk is your phone.

  • Scan the pass, not a list

Every child has a QR pass unique to their booking. Scan it with your phone camera and they are checked in, with the time and your name against it.

  • Medical notes in front of you

Allergies, medication, conditions and the emergency contact are on the roster as the child arrives, not in a spreadsheet tab.

  • Who collected whom

Sign-out records the adult who collected each child. If a parent asks a week later, the answer is there.

  • Cash still counts

A balance paid in cash at the door is recorded against the booking like any other payment, so the numbers still add up.

GETTING PAID

Transfer, card or cash. Deposits if you want them.

  • Bank transfer

Families get your bank details and a unique reference with a deadline. The place is held while it clears; when it lands you mark it paid, or import your statement and let the references match themselves.

  • Card, through your own Stripe

Connect your Stripe account and card payments go straight to you. Stripe charges its own processing fees at its published rates; FormSide takes nothing.

  • Deposits and instalments

Ask for a deposit to secure the place and collect the balance by a date you set, or offer instalments that charge the saved card automatically when they fall due.

QUESTIONS COACHES ASK

Before your first camp.

Anything else is in the help centre. How we look after children’s data is on the trust page.

How long does it take to set up a camp on FormSide?

Setting up a first camp on FormSide takes about twenty minutes. You create a workspace with your email, enter the camp's name, dates, venue, price and capacity, add your bank details or connect Stripe, and publish. The public camp page and booking form exist as soon as you publish, and you can share the link straight away.

Does FormSide cost anything for a solo coach?

No. FormSide is free while it is in beta: no monthly fee, no card needed to start, no limit on live camps or team members, and no commission on bookings. Families pay you directly, by bank transfer or through your own Stripe account. Notice will be given before pricing changes, and the commission stays at zero whatever happens.

Do parents need an app or an account to book?

No. Parents book from the camp page on their phone with no sign-in and no app. A place is held while they fill in the form, and they receive a confirmation and a QR admission pass by email. If they later create an account with the same email, every booking, balance and pass appears together.

Can I run the registration desk from my phone?

Yes. The registration desk works in the phone browser. Scan each child's QR pass to check them in, see medical notes and emergency contacts as they arrive, record a cash payment at the door, and sign each child out against the adult who collected them.

Can families pay me by bank transfer instead of card?

Yes. Bank transfer works from day one without a Stripe account. Each booking gets its own payment reference and deadline, the place is held while the transfer clears, and you mark it paid when the money arrives, or import your bank statement and let the references match automatically. Card payments can be added later by connecting Stripe.

Can I run a weekly training block as well as a holiday camp?

Yes. Set the programme type to weekly, pick the weekday, session time, number of weeks and any half-term to skip, and FormSide works out the dates. A family books the whole block in one go, every session date appears on their pass, and capacity, payments, the waitlist and the register work exactly as they do for a camp.
