Most bookings come from a phone, often in a hurry. The form is one column, big targets, the keyboard matching each field, and the total visible as they go. A place is held for five minutes the moment they start, with the timer on screen, so the question is never "will it still be there?" — and coming back to the form extends the same hold.
Every booking belongs to a family account, so the first thing a new parent does is create one with their email — and they are sent straight back to the camp they were booking. From then on their own details prefill, and the children they saved last time are one tap away with dates of birth, medical notes and emergency contacts already in. The second booking really is two minutes.
If a camp is full, the same page takes them onto the waitlist, and when a place frees up it can be offered to them behind a link that holds it while they decide.

THE PARENT ACCOUNT
Every child, every camp, every balance, on one page.
The account lists each child's bookings with their status — confirmed, balance due, waitlisted, cancelled — the money paid and outstanding across all of them, and any unread messages from you. Each booking opens to its pass, its instalment schedule if there is one, and a button to pay any remaining balance by card.
Saved children live here too. A parent keeps each child's details current once, and every future booking reads from them. A parent can cancel an unpaid booking themselves from the pass; anything paid is cancelled by you, and either way the cancellation email tells the family what had been paid and what happens next.

THE PASS
The pass is the ticket, the schedule and the custody record.
Each child's admission pass carries the QR code the desk scans, the camp dates — every session for a weekly programme, or only the days booked if the family chose days — and the venue and arrival instructions. It is emailed with the confirmation and lives in the account, so a lost email is never a problem at the door.
After check-in, the pass shows it: the time the child arrived and the time they were released, with the staff member's name. Parents see the same custody record the desk keeps, which is the kind of transparency that makes a family trust a camp with their child next summer too.

KEEPING DETAILS CURRENT
A new inhaler in June should not need an email in May's thread.
From the pass, a parent can update medical notes, the emergency contact and collection instructions right up to the camp. The desk reads the current version, so the register on Saturday says what is true on Saturday.
Parents also message you directly from their account. Threads are per family, both sides are emailed when there is something new, and the unread badge sits in the parent's nav and in yours.

PHOTOS
The camp album, only for the families who said yes.
Photo consent is its own question on the booking form, default off, separate from anything the booking needs. After the camp, upload the album and it appears in the account of every family who consented — and nobody else's. A cancelled or expired booking never gets access. Before you publish, the dashboard shows how many families said yes and how many did not, so you know what is safe to share.

THEIR DATA

From the account, a parent can download a JSON copy of everything FormSide holds against their email, and schedule erasure with a seven-day grace period in case they change their mind. Erasure anonymises rather than deletes: the booking's amounts, references and statuses survive for your accounts, but the person does not.
Both actions land in your privacy log, so when a parent tells you they have asked for their data, you already know. Marketing consent is a separate opt-in and can be withdrawn with one confirmed click from any campaign email, without touching the booking.

- Do parents need an account to book?
- Yes, a light one. Every booking belongs to a family account, so a new parent creates one with their email on the way to the form and is sent straight back to the camp. After that their details prefill, saved children are one tap away, and every pass, balance and message from any organiser on FormSide is in the same account.
- Can a parent pay an outstanding balance online?
- Yes. From the child's pass in the account, a parent can pay the remaining balance by card at any time, whether the booking was set up with a deposit and instalments or not. The payment goes into the organiser's Stripe account and the balance updates immediately.
- Can a parent change medical notes after booking?
- Yes. Medical notes, the emergency contact and collection instructions can be edited from the pass right up to the camp. The registration desk and the roster read the current version, so staff see what is true on the day rather than what was entered at booking.
- Who can see camp photos?
- Only families who answered yes to the separate photo-consent question on the booking form, and only while their booking is live. Families who declined, and cancelled or expired bookings, never see the album. The organiser sees consent counts before publishing.
- Can a parent delete their data?
- Yes. From the account a parent can download a JSON copy of everything held against their email and schedule erasure with a seven-day grace period. Erasure anonymises the records — amounts, references and statuses survive for the organiser's accounts, but names, contact details, medical notes and answers are removed. Both actions are recorded in the organiser's privacy log.
- How do parents contact the organiser?
- From the messages area of their account. Each family has one thread with the organisation; a new message emails the other side, and unread messages are badged in both the parent's navigation and the organiser's dashboard.
