Pick the last 30 days, this term, the last 12 months or all time, and every figure is shown against the period before. Money received, refunded and net by month. Bookings confirmed, cancelled and expired. Fill rate per camp. New families against repeat bookings, with the share of families who came back. Average rating and response rate from reviews. Which payment channels families actually used.

Every number comes from the same ledger as the accounting view, using the same definitions, so analytics never disagrees with the accounts or the bank statement. Owners, admins, finance and managers can see it; coaches cannot. The per-camp table downloads as CSV for the committee or the accountant.

PRIVACY LOG AND RETENTION

Every export and erasure, logged. Retention enforced while you sleep.

Families can download their data or schedule erasure from their account; you can answer a subject access request from the booking page with the same export and anonymise tools. Every one of those actions — who, what, when and why — lands in the privacy log, so a question from a parent or the ICO has an answer.

Set a retention period for your organisation, anywhere from three months to ten years after a camp ends, and a nightly job enforces it. Erasure anonymises rather than deletes: amounts, references and statuses survive for your accounts, while names, contact details, medical notes and form answers do not. Alongside it, record DBS checks, first aid, safeguarding training and coaching qualifications for your staff, with expiry dates flagged before they lapse.

API KEYS AND THE READ API

Your club website lists live camps straight from FormSide.

Create an API key in the dashboard; it is shown once and stored hashed, like a password. With it, four read-only REST endpoints return your camps and bookings — list and single item, keyset-paginated, 120 requests a minute per key. A booking in the API carries a first name and a last initial only: never medical notes, contacts, consents or form answers, so a key on a web server cannot leak what matters.

The most common use is the simplest: the club website shows upcoming camps with dates, price, places left and a booking link, pulled live so it is never out of date. If you do not have a developer, the embed widget does the same job with one script tag.

WEBHOOKS

Hear about a booking the moment it happens.

Register an endpoint and FormSide sends it a signed request whenever a booking is created, confirmed or cancelled, a payment is received or a review comes in. Every delivery carries an HMAC-SHA256 signature, the event name and a delivery ID, so your system can verify it really came from FormSide and ignore a replay.

If your endpoint is down or slow, the delivery is retried with backoff rather than dropped, and the dashboard shows every attempt and the response it got. That is enough to keep a club-management system, a mailing tool or a spreadsheet in step without polling.

What does FormSide analytics show?

Do the analytics match the accounts?
Yes. Analytics reads from the same append-only ledger as the accounting view and uses the same definitions, so the revenue figure in analytics is the revenue figure in the accounts and both reconcile to the bank statement. Owners, admins, finance and managers can see analytics; coaches cannot.
How long does FormSide keep families' data?
As long as you set. The organisation's retention period can be anywhere from three months to ten years after a camp ends, and a nightly job anonymises bookings past it. Amounts, references and statuses survive for your accounts; names, contact details, medical notes and form answers are removed. Every retention erasure appears in the privacy log.
What can the API read, and what can it never read?
The read-only REST API returns your camps and your bookings, as lists and single items, keyset-paginated, at up to 120 requests a minute per key. A booking exposes a first name and a last initial only — never medical notes, emergency contacts, consents or form answers. Keys are scoped to one organisation, shown once when created and stored hashed.
Which events do webhooks send, and how are they secured?
Five events: booking.created, booking.confirmed, booking.cancelled, payment.received and review.submitted. Each delivery is signed with HMAC-SHA256 using a secret shown once when you create the endpoint, and carries the event name and a unique delivery ID. Failed deliveries are retried with backoff, and every attempt and its response is visible in the dashboard.
Can I run FormSide on my own domain?
Yes. Add one CNAME record for a subdomain such as camps.yourclub.co.uk, verify it from Settings, and your organisation page, camp pages and booking forms are served from that address. One custom domain per organisation.
